About First Step Robotics

First Step Robotics CIC is a community organisation based in West Lothian supporting children and young people to explore robotics, engineering, coding, digital technology and wider STEAM subjects.

We are looking for an organised, enthusiastic and community-minded Project Coordinator to support the delivery of First Step Innovate, our two-year youth-focused robotics and STEM project.

About the Role

The Project Coordinator will support the day-to-day coordination and administration of First Step Innovate. This is primarily a project coordination and administration role rather than a STEM teaching position. STEM activities will be delivered by sessional STEM tutors.

The role combines on-site coordination at the weekly Friday robotics session with flexible remote working for the remainder of the contracted hours.

Working Pattern

The weekly project session takes place every Friday at Strathbrock Community Centre in Broxburn, from 2:00pm to 4:00pm.

The Project Coordinator will be on-site from 1:30pm to 4:30pm every Friday. This includes helping to set up before the session, supporting the smooth running of the session, assisting participants and the project team, and helping to tidy and pack away afterwards.

The remaining contracted hours can be completed remotely on any day of the week, including Friday, depending on project requirements. The post is for 10 hours per week in total.

Key Responsibilities

Project Coordination

• Coordinate the day-to-day delivery of the First Step Innovate project.

• Help plan weekly activities, workshops, competitions and community events.

• Liaise with STEM tutors, volunteers and Junior Robotics Mentors.

• Coordinate arrangements for project activities and special events.

• Work closely with the directors of First Step Robotics to support successful project delivery.

• Keep the directors informed about project activities, progress, issues and matters requiring attention.

Young People and Families

• Support the recruitment and engagement of young people.

• Maintain participant registration and attendance records.

• Communicate with parents/carers regarding sessions, activities and arrangements.

• Help create a welcoming, inclusive and supportive environment.

• Support opportunities for young people to contribute ideas and influence project activities.

• Help coordinate young people taking on leadership and Junior Robotics Mentor responsibilities.

Communication

• Monitor project emails and respond to enquiries promptly and professionally.

• Communicate effectively with parents/carers, young people, volunteers, tutors, partners and other stakeholders.

• Ensure important information is passed to the directors in a timely manner.

• Liaise regularly with the directors regarding project delivery and administration.

Junior Robotics Mentors and Volunteers

• Support the recruitment and coordination of Junior Robotics Mentors.

• Help organise mentor meetings and development opportunities.

• Coordinate volunteers supporting the project.

• Help ensure young people involved as mentors receive appropriate support.

Administration and Finance

• Maintain accurate project records and documentation.

• Complete project-related administrative tasks.

• Maintain attendance, participation and activity records.

• Support bookkeeping and financial administration specifically relating to the project.

• Organise invoices, receipts and other project financial records as required.

Monitoring and Evaluation

• Collect feedback from young people, parents/carers, volunteers and tutors.

• Maintain records of participation and project activities.

• Support monitoring and evaluation of project outcomes.

• Help prepare project reports and information required by the organisation and funders.

• Record young people's achievements, progression and involvement in decision-making.

Weekly Robotics Session

• Attend the Friday session from 1:30pm to 4:30pm.

• Help set up the room and equipment before the session.

• Support registration and attendance.

• Provide practical coordination and participant support during the session.

• Support STEM tutors, volunteers and Junior Robotics Mentors.

• Assist with equipment organisation, packing away and tidying after the session.

Hours and Flexible Working

The position is 10 hours per week at £15 per hour. Three hours each Friday are allocated to the weekly on-site session (1:30pm–4:30pm). The remaining hours can be worked remotely and can be completed on any day of the week based on the needs of the company.

The successful applicant will be expected to manage their workload independently, complete agreed tasks promptly and communicate regularly with the directors. The overall contracted hours will remain within the agreed 10 hours per week.

Person Specification – Essential

• Highly organised and able to manage multiple tasks.
• Excellent communication and interpersonal skills.

• Confident communicating with young people, parents/carers and volunteers.

• Responds to emails and enquiries promptly and professionally.

• Able to work independently and manage time effectively.

• Good administration and record-keeping skills.

• Comfortable using email, spreadsheets and common digital tools.

• Able to communicate effectively with directors and project team members.

• An interest in supporting children and young people.

• Committed to equality, inclusion and positive opportunities for young people.

• Able to attend the weekly Friday session at Strathbrock Community Centre.

Person Specification – Desirable

• Experience working with children or young people.

• Experience in community projects, youth work, education or voluntary-sector organisations.

• Experience coordinating volunteers.

• Experience organising workshops, events or community activities.

• Experience with monitoring and evaluation.

• Experience with basic bookkeeping or financial administration.

• An interest in STEM, robotics, engineering, coding or technology.

You do not need to be a robotics expert or STEM teacher to apply.

Young Person-Centred Approach

A key part of First Step Innovate is ensuring that young people are not simply participants but have opportunities to shape activities, contribute ideas, make decisions, develop leadership skills and take responsibility. The Project Coordinator will play an important role in creating and supporting these opportunities.

Safeguarding

First Step Robotics is committed to safeguarding children and young people. The successful applicant will be required to complete appropriate Disclosure Scotland/PVG checks and safeguarding procedures before undertaking relevant duties, where required for the role.
